Vendor Master Data Specialist

The primary responsibilities of the Vendor Master Data Specialist is to support the accurate and timely creation and maintenance of vendor master data in compliance with internal controls and company policies. This role contributes to the integrity of financial and procurement systems by ensuring data accuracy and supporting the vendor onboarding process.

What will you do:

  • Assist with the creation and maintenance of vendor master data records under supervision
  • Communicate with internal teams and vendors to collect required documentation and information
  • Perform data entry and updates to ensure vendor records are complete and accurate
  • Support the secure collection and storage of vendor documentation (e.g., W-9s, TIN matching)
  • Help monitor data quality and flag inconsistencies or missing information
  • Assist in generating basic reports related to vendor data and compliance
  • Maintain documentation and follow standard operating procedures
  • Participate in training sessions and process improvement initiatives
  • Support special projects and perform other duties as assigned 

What you will need:

  • Associate’s or Bachelor’s degree in Business Administration, Supply Chain, Information Systems, or a related field preferred
  • 1–3 years of relevant experience (internships or coursework in data management or procurement is a plus)
  • Familiarity with ERP systems (Oracle, SAP, PeopleSoft, etc.)
  • Basic proficiency in Microsoft Office Suite, especially Excel.
  • Strong attention to detail and organizational skills.
  • Good communication and interpersonal skills.
  • Willingness to learn and grow in a data governance or finance-related role.
  • Attention to detail and accuracy in data entry
  • Basic understanding of vendor setup and fraud prevention concepts
  • Ability to follow procedures and meet deadlines
  • Strong organizational and time management skills
  • Effective communication and teamwork
  • Willingness to learn and adapt to new systems and processes
